Packing List App or PDF: Which Fits Your Trip?
Packing list app or PDF? Compare checking off, editing, shared packing and costs, with practical questions to choose for your next trip.

A printed packing list works well for a one-off trip when you want a sheet next to your suitcase. An app becomes useful when trips change, quantities need adjusting or several people pack from the same list. Choose around your packing routine.
Compare the everyday tasks
| Task | Printed PDF | Packliste for iPhone and iPad |
|---|---|---|
| Check items off | With a pen, without a device | In the list, with visible progress |
| Change items | By hand or before printing | Edit names, quantities and categories |
| Prepare another trip | Print another copy and amend it | Adapt a saved list; multiple lists need Premium |
| Pack together | Coordinate copies or one shared sheet | Shared list through iCloud; the inviter needs Premium, guests do not |
| Print a copy | Already a printable document | PDF export with Premium |
| Cost | Depends on the template provider | First list free, Premium as a one-time purchase |
When a PDF is enough
You are taking a short, familiar trip, expect few changes and enjoy using paper. Start with a base list and add your own items. Write the destination and dates at the top, then cross out equipment supplied by the accommodation. A second sheet for the return journey can help you avoid leaving things behind.
The camping packing list displays all 32 entries in its static base. Check documents, personal medication and specialised equipment separately. The other trip lists help you choose a starting point.
When the app saves repeated work
This time you are away for seven nights rather than three, travelling with a child or adding swimming and hiking. In Packliste you enter the trip, generate a suitable starting list and edit the suggestions. Your own items and quantities stay saved in the list. While packing, you can see what is already done.
For a shared list, everyone needs the app and iCloud. The person sending the invitation needs Premium; invited guests can pack along free of charge. The app does not automatically assign equipment to people. Agree who brings shared gear and record that agreement in the name of a custom item.
Use paper alongside the app
Premium lets you export the adapted list as a PDF if you want a paper copy. A printed copy does not update when the app changes. When packing together, agree which version holds the current status.
Three questions to decide
Do you only need to check off this one trip? A PDF may be enough.
Will quantities, weather, accommodation or travellers change? An editable app becomes more useful.
Do several people need to see the same packing progress? Consider a shared list instead of separate sheets.
Your first Packliste list is free and needs no Packliste account, so you can try the actual routine. See features for Premium, iCloud and supported devices. If you prefer a text checklist, read Packliste or Notes too.
Tips
- Try your preferred method with a real upcoming trip.
- Agree on one current version when packing together.
- A printed copy is a snapshot; maintain changes yourself.
Frequently asked questions
- Can I try Packliste free?
- Yes. The first list, including the assistant, editing and checking off, is free. Multiple lists, sharing and PDF export are Premium features.
- Does a PDF update with the app?
- No. An exported or printed PDF is a snapshot. Later edits and check marks in the app do not change that document.
- Is a PDF template complete for every trip?
- No. Check accommodation, weather, personal needs and plans. A general template cannot know those details for you.
Adapt it to your trip
